At RecStaff, we believe that the best features come from the people who use our software every day. That’s why we treat every customer request as an opportunity to make RecStaff better — not just for one organization, but for everyone. When you ask, we build. Here are three examples of real-world customizations that came directly from our customers:
1. Nudging Managers to Submit Timesheets
One of our larger customers was struggling to get managers to submit timesheets on time. Payroll was being delayed, follow-up was time-consuming, and the whole process felt like herding cats.
They asked for a simple way to remind all managers at once.
So we added an automated email blast that notifies department managers who haven’t yet submitted their timesheets. It’s a quick nudge that gets the job done — no herding required.
2. Empowering Personal Trainers to Submit Shifts
Another organization needed help tracking sessions for their personal trainers. Trainers were booking clients directly, but their sessions weren’t always making it into RecStaff — which meant instructors weren’t getting paid on time.
We developed a shift submission module that allows trainers to submit their own shifts,
which are then reviewed and approved by a manager before being automatically added to the schedule and timesheets. It puts accountability in the right place while keeping everything flowing smoothly.
3. Hands-Free Work Assignment Displays
Aquatics staff at one site had a very specific challenge: their hands were often wet, and they didn’t want to pull out their phones mid-shift to see their next assignment. They needed a simple, visible way to stay on track — without breaking stride or risking their devices.
We created a full-screen work assignment display
that refreshes every 20 seconds and stays locked on screen. It’s hands-free, up-to-date, and always accessible — perfect for swim instructors jumping from one lesson to the next.
These enhancements might begin with one customer’s request, but they’re built to benefit everyone. Since RecStaff is designed solely for parks and recreation, many of the challenges our customers face are shared across the industry. So, when we build something new, it quickly becomes a tool everyone can use — making RecStaff more capable and more tailored to recreation with every update.
